Why a dated timeline beats a year-stamped PDF

Most VBS planning calendars are a PDF with someone else's dates on it, so the first job is crossing them out. This timeline counts backward from your date instead. Change the date or the runway and every milestone moves with it.

The same thirty milestones fit a June morning VBS and an August evening one, whatever curriculum you choose.

Starting late?

If your VBS is closer than the runway you picked, the timeline says so and offers a shorter plan. The 16- and 12-week plans pull the early work closer together, but the last three weeks (training, crew lists and set-up), VBS week and the follow-up stay exactly where they are, because that work can't be squeezed.

Anything already past its date is marked overdue instead of disappearing. Do those first, and do them side by side: recruiting, registration and supplies don't have to wait for each other.

Divide the work by owner

Every milestone has an owner, so one person isn't carrying all thirty. In a small church one person may wear two of these hats. That's fine, as long as every hat has a name.

  • Director: vision, curriculum, training, and the calls nobody else can make
  • Registration lead: the form, crew lists, allergy lists and name tags
  • Volunteer lead: recruiting, background checks, and telling each volunteer where to be
  • Supplies and decor lead: rooms, supplies, decorations and packing up
  • Pastor or church office: the church calendar, announcements and following up with families

How the shorter plans are worked out

The milestones are written for a 24-week plan. Choose 16 or 12 weeks and everything more than three weeks before VBS is pulled proportionally closer, always in the same order. Two milestones can land in the same week, but they never swap places.

Questions about the VBS planning timeline

Which runway should I pick?

24 weeks gives a volunteer-led VBS real breathing room and is the full plan. 16 weeks suits a church that has run VBS before and is bringing back most of its team. 12 weeks is the shortest plan that still leaves time for recruiting and training. If you're closer than that, pick 12 and start with the overdue items.

Can I add the milestones to Google Calendar, Outlook or Apple Calendar?

Yes. Set your date and choose Add to calendar. You'll download one .ics file with every milestone as an all-day event, and you can import it into any of those calendars. It's a one-time file: if you change your date later, delete the old events and import a fresh file.

Does ticking a milestone share it with my team?

No. Ticks are saved in this browser only, on this device. There's no account, no syncing and no reminders. To share the plan, send the calendar file or the CSV, or print it.

Does it work for an evening VBS or a one-day event?

Yes. Set the number of VBS days from 1 to 5. The VBS week milestones cover all of your days, and the follow-up milestones count from your last day. Milestones are dated by day, not time of day, so a morning or evening VBS gets the same plan.

Is the timeline tied to a particular curriculum?

No. Choosing a curriculum or theme is one milestone. Everything else is about people, rooms and families, and it's the same whichever one you pick.

What comes after the timeline?
